Why maintenance slips

Maintenance doesn’t get skipped on purpose.
It gets forgotten.

Here’s the uncomfortable truth: nobody on your team decides to skip the oil change. It just slides. The reminder lives in your head, the service history lives in a group chat, and “yeah, I did it” is the only proof you’ve got.

It works fine right up until it doesn’t: a seized pump, a blown motor, a van off the road. By then you’re not paying for a service. You’re paying for a repair, a lost day, and a customer you have to call with bad news.

As you grow

One machine, you can remember.
Four, you’re guessing.

With one machine, you know when the oil was changed. Add a second, a third and a van, and it all starts to blur. Was that the one that had its filter done? Or was that the other one?

It’s like trying to remember the last oil change on every car in your street. Nobody can, and nobody should have to.

Easy Upkeep gives every machine and vehicle its own record: hours, services, checks and issues, all in one place. You stop remembering and start knowing.

Illustrative service equipment and working environment

Service by what actually matters

A service plan without reminders is like a gym membership.
Great intentions. Zero results.

Most businesses have a maintenance schedule somewhere. The problem is that nothing tells anyone when it’s due. Easy Upkeep counts down using whatever the machine actually runs on.

Hours

Pressure washers, pumps, compressors, generators, mowers, truckmounts. Service by the hours the machine has actually worked.

Mileage

Pickups, vans and service trucks. Service intervals by distance, the same way you’d look after your own car.

Dates

Annual services, inspections and anything else on the calendar. Or combine a meter and a date for the same task.

When something’s due, the right person gets a notification on their phone. No chasing. No whiteboard.

What you get

Everything your gear needs.
Nothing it doesn’t.

Focused tools in the field. A wider view in the office. Everyone working from the same maintenance records.

Reminders that go to the right phone.

Staff get nudged to record hours and complete their assigned tasks. You stop being the reminder.

Assign it your way.

Give a task to a machine, a vehicle or a staff member. Technicians see what’s theirs; owners and admins see the whole business.

Proof, not promises.

Tasks are signed off with a photo and notes, so “done” means done.

A full history for every machine.

When a warranty claim, a buyer or your insurer asks for the service record, hand them the record, not a story.

Set it up once

Set it up once.
Let the reminders do the chasing.

Start with a maintenance template or build your own. Either way, it’s built around your equipment and your team.

01. Add your gear

Machines, vehicles and tools, named the way your team names them, with their current hours or mileage.

02. Set the intervals

By hours, mileage or date, based on the manufacturer’s recommendations.

03. Assign the work

By machine, by vehicle or by person. Everyone knows what’s theirs.

04. Get proof back

Staff get notified, do the job and sign it off with a photo and notes.

Why I built it

The workshop blamed me.
I couldn’t prove them wrong.

Che Boielle
Founder, Easy Upkeep

Every time one of my machines came back with a problem, the workshop had the same answer: it must be how you’re maintaining it.

I knew that wasn’t true. But I couldn’t prove it. I had no clean record of what had been done, when, or by whom. So every argument ended the same way: my word against theirs, and they held the invoice.

Here’s the uncomfortable truth: when something breaks, whoever has the records wins the argument. The workshop, the warranty, the insurance claim. Every time.

Then my fleet grew. One machine, I could keep in my head. By the third and fourth, I couldn’t tell you which one had its oil changed last month and which one was overdue. I was guessing, and guessing gets expensive.

So I built Easy Upkeep. My team gets reminded to log their hours. I get alerted when services are due. Every job is recorded with photos and notes. Now when someone asks what’s been done, I don’t argue. I show them.

Your paper trail

When something goes wrong, the records decide who’s at fault.

A workshop blaming your maintenance. A warranty claim that needs proof. An insurer asking questions. In every case, the person with the paper trail wins. Easy Upkeep builds that trail while your team works.

Every service, time-stamped.

Recorded against the machine it belongs to, by the person who did it.

Photo proof and notes.

Evidence attached to completed work, not buried in someone’s camera roll.

A full history for each machine.

Readings, services, checks and issues, ready the moment someone questions it.

Who it’s for

If it has an engine, a pump or an hour meter, it belongs here.

Built for service businesses whose machines are the business. Not drills and hammers: the gear that needs oil changes, filters and scheduled servicing.

Fair question

Why not a spreadsheet?
Or proper fleet software?

A spreadsheet is free right up until nobody updates it, and it’s never once reminded anybody of anything.

Big fleet software has the opposite problem. It’s built for 500-truck logistics companies, priced like it, and about as fun to use in a wet van as filling out a tax return.

Easy Upkeep sits in the middle: enough structure to keep your gear honest, simple enough that your crew will actually use it.

Straight answers

A few things worth knowing.

What kind of businesses is it for?

Any service business with machinery or vehicles that need regular servicing, whether that’s by hours, mileage or date.

Does it read machine hours automatically?

Not yet, and I’d rather tell you that upfront. Your team gets a reminder and enters the reading from the machine. It takes about ten seconds.

What if someone says they did it and didn’t?

That’s what photo proof is for. Tasks are signed off with a photo and notes, so there’s a record of the work, not just a tick.

Can I sign up today?

Not quite. We’re field testing with a small group of invited teams first. Get in touch and you’ll be first in line.

Does it replace the service manual?

In short: no. The manufacturer sets the standard. Easy Upkeep makes sure you actually meet it, and proves you did.

What happens with poor signal?

The mobile app holds a short queue of readings and work, then syncs when a connection returns. Pending work stays labeled until it’s accepted.
